ANSWERS:
1. How can The PROACT® Suite
help healthcare organizations become more efficient?
The PROACT® Suite allows the user to configure the software to meet the needs
of their environment and not the other way around. When setting up a LEAP™ analysis,
the user must input information like the system they wish to analyze, the definition
of loss for their system, the process flow diagram of their system and more.
Once the data is input, the program will compile the data into useful information.
One of these bits of information is the identification of the 20% of the events
that are costing us the 80% of our losses, or the Significant Few. Because of
the ease of getting from the inputting of the data to the final report, time
savings make the LEAP™ approach very efficient and effective.
The PROACT® RCA program facilitates the RCA process and
guides the analyst down a disciplined path to uncover the root
causes. As this information gathering journey proceeds, the data
being collected is input into the program and compiled for easy
access and dissemination to others.
The greatest efficiency however, is the knowledge sharing aspects
created by an integrated and networked application. This allows
data to be shared between programs and remote users to be able
to search these databases for information pertinent to their
circumstances.

2. Does The PROACT® Suite
meet JCAHO requirements?
Yes, the PROACT® Suite produces a thorough and credible analysis
as required by the JCAHO.
3. How do I obtain training on the PROACT methodologies and
software?
PROACT methodology training is provided by seasoned,
career analysts. The instructors are also practitioners, educators,
mentors and authors on the topic. PROACT software training is
provided by authorized RCI personnel who are heavily involved
in the development of the program itself. All RCI training is
professionally developed using professional Instructional Technology
standards. Our workshops are very interactive and involve both
knowledge and skill demonstration.

4. How difficult is the software installation?
Obviously desktop versions can be installed by
the user at the client level (generally without
much IT involvement). At the Enterprise level, the IT group will
need to be involved with how to integrate The PROACT® Suite into their current
configuration. The PROACT® Suite is not a massive, complex
package requiring months to install. In fact, 80% of our Enterprise
clients have used their own IT expertise to install The PROACT® Suite.
With the maintenance agreement, our IT staff will provide phone
support to insure a successful installation. From the time the
IT group receives the software to the time you can use it, the
average lapse is 24 hours.

5. How is The PROACT® Suite
priced?
The PROACT® Suite is available in Desktop (ACCESS), Enterprise
(SQL, ORACLE) and Web (CITRIX) versions. Pricing is based on
the platform desired, the number of users and the number of sites.
Bundles are available in increments of 1, 5, 10, 15, 30, 60 and
120+ users. Bundles include LEAP™, PROACT® RCA and
on-site training (5+ users) for each user.

6. What do I get when I
buy The PROACT® Suite software?
The software provides you the ability to immediately
conduct FMEA's, Opportunity Analyses and Root Cause Analyses.
The software includes on-line help screens
7. What is Opportunity Analysis?
Opportunity Analysis is a modified form of FMEA
that focuses on identifying the chronic events in a system
that detracts from the system's productivity. We all see things
in our work environment that happen over and over again, but
never get recorded. They kind of blend into the "way we
do business" and become accepted practice. Opportunity
Analysis forces these issues to be looked at from 30,000 feet.
Opportunity analysis is going to identify how often they occur
in a year and when they do occur, how much loss do they absorb
(i.e. - labor, time, expense, etc.). Chronic events are what
is truly eating an organization's lunch because they are built
in to the system and not regarded as incidents.

8. What Options Do I Have
Between Training and Software?
Depending
on the needs of the organization they can use a “cafeteria
style” approach when designing their proactive program.
For instance:
- Perhaps just training on the PROACT Approach (FMEA, Opportunity
and RCA) is all that is needed right now.
We could propose just that for the number of people you have
to be trained.
- Perhaps you have only five (5) people who will
lead analyses, however you would like to
train others who will participate on teams.
In this case you may only want five (5) software licenses and
training on the software for only those five (5) people. However,
you may want to train 20 people on the PROACT Approach methodology.
- Perhaps
you have many to be trained on the PROACT
Approach Method and would prefer to use your
in-house resources to do so, using our material. In this case
we could set-up a train-the-trainer program for you.
- Perhaps
you have many people to be trained and they
are not all accessible at the same time for classroom training.
In this case we can set up pre-recorded, on-line training and
your students can take the training on-line at their own convenience.
In short, you design how you wish to purchase
for your organization.

9. What Financing Options Do I Have?
RCI is acutely aware of budgetary cycles involved
with such purchases. We are also acutely aware that patients
need not remain at risk while such purchase cycles run their
course. RCI is willing to work with organizations on creative
financing options where either 1) payments are split up over
a period of time and/or 2) payments are delayed until a new
budget cycle goes into effect. The important factor is that
unnecessary risk and exposures are not left vulnerable until
purchasing decisions are made.

10. Can I Talk With Other PROACT Users to Discuss Their Experiences?
Absolutely! RCI prides itself on its relationships
with its users. We know that we will not be successful if they
are not, so we invest heavily in our relationships with our
analysts. This type of discussion is very important because
you will be talking directly with the people that had to change
their culture to accept doing analysis in a different fashion.
This acceptance of doing something new is essential to the
success of any new effort.
11.Is there a place to enter the patient info?
The
patient information can be put into your comments
section if you want it to be seen in the report. We did not specifically
have a place for the patient identifiers because
each state views these differently under the law of discovery.

12.Place to enter involved employees? (state
related)
The team members will be put in as you check
them off in the team member’s area under the Order section.
You can also place them in the report section under acknowledgements
and you can add or remove the team members under the report section
with a check box.
13.Place to
document meetings and who attended?
You can document the meetings and attendees in
the comment section or in a word document and attach later.
14.Can you do sequence of events?
If you have a form that you use already you can
copy and paste, or use any document format and then copy and
paste to the comments section. Also if you have established a
procedure to draw or write up a time line it can be copied and
pasted into the comments section..
15.What about entering minimum scope info? (state
related)
Am not aware of what you mean with minimum scope,
but again you can put it into the comments section.

16.Can you for sure track all emails related
to case?
Any email sent by the program will be documented
and any that is out side the program can be attached, so in that
case yes all can be captured.
17. A place to document root cause buckets? (effects
board reports)
The buckets will be determined by you and how
you word the root causes. They will be searchable
using the report feature in PROACT®.
